Superbill Inquiry

With the Superbill Inquiry function, you can quickly look up a superbill to see its current status, the appointment it is tied to (if any), and the patient and posting details. Upon accessing this function, you must know at least part of the superbill number you want to look up.

Type the superbill number in the Superbill Number field, then choose a Search By option: Equals returns only the exact superbill number; Begins with returns any superbill number that starts with what you typed (useful when the number has an extension after the main number, such as 10861.7); Contains returns any superbill number that contains what you typed.

Search By	Select one of the following options to control how the superbill number is matched: Equals (exact match), Begins with (matches any superbill number that starts with the value entered), or Contains (matches any superbill number that contains the value entered).

When your search returns a single superbill that is tied to an appointment, the Superbill Inquiry detail screen displays the appointment and patient information, the superbill number (including any extension), the posting history, and a status log of check-in / check-out activity.

Action Column Buttons

Modify — Opens the appointment for modification (available only when the appointment record can still be edited).
Print — Prints the displayed inquiry information. You can also use the printer icon at the bottom right of the screen.
Transactions — Opens the Superbill Inquiry Summary screen so you can review the posting detail for the superbill.

The Superbill Inquiry Summary screen also displays in two other situations: when the superbill is not tied to an appointment, and when a Begins with or Contains search returns multiple matching superbills. The Summary screen lists each matching superbill with its current status (such as No Transactions, Unposted, posted, partial, or duplicate) along with Superbill #, Account #, Patient, DOS, CPT, Amount, Per Dr, Ins Dr, Ref Dr, and Loc.

Click a row on the Summary screen to drill into the detail: rows with unposted charges open the Unposted Procedures function, and rows with posted charges open Transaction History – Encounter View.

If a superbill has already been printed and you reschedule the patient's appointment, the original superbill number is retained when you reschedule it on the same day as the original appointment; otherwise the superbill is automatically voided. When you perform an inquiry on a superbill that has been voided as a result of being either deleted or rescheduled, you are informed the appointment was rescheduled or deleted and provided the user name of the person who rescheduled or deleted it.

If you cancel out of an E-Superbill, the superbill number is tracked and the message This superbill was CANCELED BY (USER) ON (DATE) displays. Because the canceled superbill was never attached to the appointment, it is not included on the Missing Superbill Report. Also, if you delete an appointment that had a superbill number attached to it, a message displays with the details of the deleted appointment.
