NetPracticePM
System Conventions
- Patient Look-up - A modification has been made so the search for a patient by Policy Number will be much faster. The 'Criteria requires looking at all patients. Are you sure?' message will no longer appear.
User Desktop
- E-MAIL - It was possible for an e-mail sent to a group to only go to the first address in the group. This has been corrected.
- E-MAIL - The Delete button would not always display after selecting an e-mail message. This has been corrected.
- TASK MANAGEMENT - An Assigned By field and a Print option have been added to the Task Management screen for existing tasks.
- TASK MANAGEMENT - It was possible for tasks marked as complete to remain on the Task List. This has been corrected.
Billing
- Deny Insurance Claims (Billing, Insurance Billing Functions) - ***New Functionality*** - The Refile or Deny Insurance function has been split into two separate functions (Refile Insurance Claims and Deny Insurance Claims). The Insurance Deny screen now includes the Practice Reason and Insurance Reason denial code fields.
- Refile Insurance Claims (Billing, Insurance Billing Functions) - ***New Functionality*** - The Refile or Deny Insurance function has been split into two separate functions (Refile Insurance Claims and Deny Insurance Claims). A Delay Reason Code field has been added to indicate to the insurance carrier why there was a delay in submitting or refiling the claim. The corresponding delay reason code number will reflect on the Transaction History Detail screen next to the new Claim Delay field. The text entered in the Refile Reason field will display on the Transaction History Detail screen as the Action description.
- Move/Re-Build Transmission File (Billing, Insurance Billing Functions, Electronic Claims) - ***New Functionality*** - The legacy number for the location will no longer be sent on electronic claims (Loop 2310D). If there is a Location NPI Number entered in the Location Code Table, then the NPI number and its corresponding qualifier will be sent.
- Print Confirmation Report (Billing, Insurance Billing Functions, Electronic Claims, Printing Options) - It was possible for an error to occur when downloading confirmation reports. This has been corrected.
- Print Exception Report (Billing, Insurance Billing Functions, Electronic Claims) -
- ***New Functionality*** - An exception for Missing NPI # for Referral has been added. If the NPI Number field is blank in Maintain Referral Source Codes, you will receive this exception.
- ***New Functionality*** - An exception for Invalid Report Type has been added. If the NDC, EPO, and PWK numbers have not been entered in the proper format in the Description field in the Procedure Entry Function, you will receive this exception.
- ***New Functionality*** - An exception for Patient Address has been added. If there is a patient address on the account for any country other than the U.S., you will receive this exception.
- ***New Functionality*** - You can now print this report in Excel format by selecting the Microsoft Excel via MyReports option from the Printers dialog box. The totals will not print in the Excel format.
Collections
- Insurance Collections - ***New Functionality*** - The Insurance Collections menu has been removed from the Billing module and is now located in the Collections module.
- Move Accounts to Collection Database (Collections, Patient Collections, Turn Over Functions) - You can no longer perform this function without performing the Populate Collection Roster function first. The roster must be populated no earlier than the day before you move accounts to the collection database.
Patient
- Case Management (Patient, Change Patient Data) - ***New Functionality*** A new Protocol field has been added to this screen so you can attach protocol codes that have been set up in the Protocol Code Table to the case management record for informational purposes only.
- Case Management (Patient, Change Patient Data) - ***New Functionality*** - When you hover over the case description in the Case Management section of the Patient Summary screen, the insurance carrier and employer information for each case will display.
- Images (Patient, Change Patient Data) - It was possible for scanned insurance cards to be saved on the Patient Name and Address Information screen. This has been corrected.
- History (Patient, Change Patient Data) -
- ***New Functionality*** - If you enter Notes on the E-Superbill, they will now display at the bottom of the superbill image.
- ***New Functionality*** - A Delay Reason field has been added to the Refile dialog box in the Refile Actions function, so you can indicate to the insurance company why there was a delay in filing or refiling the claim.
- ***New Functionality*** - You can deny a claim by selecting Deny from the Actions box. The Amount, Practice Reason, Insurance Reason, and Carrier fields have been added to the Deny dialog box.
- Billing Information (Patient, Change Patient Data) - ***New Functionality*** - ***Family or Linking Billing Types only*** If the Billing Type for your database is set up as Family or Linking in System, Database Maintenance Menu, NetPracticePM Integration Options, and you change the Billing Group on any of the family members, you will be given the option to update the Billing Group on any or all of the other family members.
- History (Patient, Review Patient Information) - ***New Functionality*** - When you hover over the Superbill image icon (SB), the superbill number and superbill notes will display.
- New Patient/Follow-Up Reports (Patient, Patient Listings) - The Sorted by Referral Source report will no longer include new patients with no activity. Previously, new patients with no activity were listed under Referral Source Code '0'.
Reports
- Aged Accounts Receivable for Insurance (Reports, Insurance Related Reports) -
- ***New Functionality*** - New sorting options have been added to this report. You can sort this report by Billing Group, Responsible Doctor, Performing Doctor, Location and Corporation. The Corporation sort is the same as the original Aged Accounts Receivable for Insurance report.
- ***New Functionality*** - To make the report data easier to manipulate when printed to Excel, the single sorted reports will not print address information, transaction detail, or balances split between insurance and patient.
- ***New Functionality*** - An Include Claim Totals check box has been added. If you select this check box and select to generate the report in detail, the Claim Total, Date Filed (Paper or Electronic), Procedures, DOS, and Amount of Line Item will display for each outstanding charge.
- If you generated this report for a specific Plan Code(s), the report would include results for Plan Code '0'. A change has been made so if you select a specific plan code or range of plan codes, Plan Code '0' will not be included unless you specify to include it.
- Aged Receivables by Department (Reports, Aged Accounts Receivable Reports) - ***New Functionality*** - This report can now be sorted by Department. NOTE: Since the Department Code is not a 'Required' field on the Procedure Entry screen, if the departments are not entered on all charges, this report may not balance to other A/R reports.
- Detailed Procedure Analysis (Reports, Statistical Reports) - This report (and the Sorted Procedure Analysis reports) will now reflect data based on the Billing Group tied to each transaction instead of the Billing Group on the account.
- Insurance Never Filed (Reports, Insurance Related Reports) - The Batch column (which reflects the 'Y' or 'N' 'batch-locked' indicator) has been moved next to the procedure-detail section of the report.
- Insurance Never Filed (Reports, Insurance Related Reports) - The Location Code tied to the charge in the Procedure Entry Function is now included on this report.
- Insurance Filing Report (Reports, Insurance Related Reports) - ***New Functionality*** - Begin with Location and End with Location sorts have been added.
- Print Global Payment Journal (Reports, Corporate Reports) - ***New Functionality*** - This report reflects all payments posted for ALL databases within a specific date range.
- Sorted Productivity Analysis Reports (Reports, Statistical Reports, Productivity Analysis Reports) - If you printed a report without selecting the Print with Codes check box, the code description would not print. This has been changed and the description will now print if you leave the Print with Codes check box blank.
Schedule
- Add a Patient Referral (Schedule, Patient Referral/Pre-registration) - ***New Functionality*** - A Language field has been added to this screen.
- Check In/Out Payment Journal (Schedule, Scheduling Printing Menu) - The location code for ROA payments was defaulting to 'None'. A change has been made so the User's Scheduling Default Location will print for ROA payments entered through Patient Check In/Out.
- Check In/Out Payment Journal (Schedule, Scheduling Printing Menu) - ***New Functionality*** - You can now print this report in Excel format by selecting the Microsoft Excel via MyReports option from the Printers dialog box.
- Enter Patient Appointments -
- ***New Functionality*** - A Language field has been added to the Patient Name and Address Information screen when you 'quick-register' a new patient from within the schedule.
- ***New Functionality*** - You can no longer reschedule or delete an appointment that has an unposted co-payment attached to it in Patient Check In/Out. NetPracticePM will display the message, 'This patient has unposted copayments, you must void first'.
- ***New Functionality*** - When you select Details from the Action Column to view the details of the appointment, the User information will now display next to Status/Location History.
- ***New Functionality*** - The printed appointment reminder will now list all multiple appointments scheduled on the same day, not just the patient's first appointment of that day.
- When you schedule an appointment for a new patient by clicking on an available time slot first, that doctor will default in the Responsible Dr field on the quick-register screen. Otherwise, if you complete the quick-register information before selecting an appointment slot, the doctor from the Default Responsible Dr field in NetPracticePM Default Values (System, Database Maintenance Menu), will default on the quick-register screen.
- If you have the Register option selected in System, Database Maintenance Menu, Scheduling System Integration, and you register a new patient through Enter Patient Appointments, whatever you select in the Rel to Guarantor field will now default in the Pat. Rel to Policy Holder field on the patient's Insurance Policy Information screen.
- Scheduling Co-pay Report (Schedule, Scheduling Printing Menu) - You can now print this report in Excel format by selecting the Microsoft Excel via MyReports option from the Printers dialog box.
- Scheduling Co-pay Report (Schedule, Scheduling Printing Menu) - This report only reflected co-pays that were entered in Patient Check In/Out but were not posted. A change has been made to include co-pays that have been posted after being entered in Patient Check In/Out.
System
- Electronic Claims Integration (System, Database Maintenance Menu) - ***New Functionality*** - If you have selected the Suppress Legacy Numbers check box, the qualifier and UPIN/Legacy number will no longer print in Box 17A on the HCFA form. If a specific carrier still requires a legacy number to print in Box 17A, or its electronic equivalent, contact the NetPracticePM EDI Department.
- Superbill Wizard (System, Form Wizards) - ***New Functionality*** - If you use the SurgeryPostOpDays data element on the E-Superbill, the number entered in the Post-Op Days field in the Procedure Code Table will now override what is entered in the Number of Days for Post-Op field on the NetPracticePM Integration Options screen (System, Database Maintenance Menu).
- Superbill Wizard (System, Form Wizards) - ***New Functionality*** - The ApptPendReason data element has been added. If selected, this will populate the Pend Reason code from the patient's appointment.
Tables
- Allergy Table - ***New Functionality*** - The Allergy Table has been added so you can create codes for specific allergies. You can then use these codes to keep track of a patient's allergies in the DMS Allergy Record under Patient, Change Patient Data.
- Maintain Group Taxonomy Numbers (Tables, Doctor Code Table, Provider Number Table, Group Taxonomy Number Table) - ***Idaho Medicaid claims only*** ***New Functionality*** - To comply with the Idaho Medicaid requirement for electronic claims, you must enter the Group Taxonomy Code in this table. For additional information, see Maintain Group Taxonomy Codes.
- Protocol Table - ***New Functionality*** - This table has been added so you can create codes to store protocol procedures for various employers. For example, if an employer sends employees to your practice for physicals, drug screens or Workers' Compensation issues, you can use this table to store the details of their specific requirements. This table includes the Protocol Integration menu so you can control the Field Description heading on each Additional Information field in the Maintain Protocol Codes screen.
- Maintain Referral Source Codes (Tables, Referral Source Table) - ***New Functionality*** - A Taxonomy field has been added for the referring provider Taxonomy number.
Transactions
- Adjustment Journal (Transactions, Transaction Journals) - It was possible for only the first selected sorting option to print if you selected multiple sorting options. This has been corrected.
- Create a Batch (Transactions, Transaction Batch Control) - A modification has been made to no longer allow you to create a batch number with a space at the end, which could cause issues with batch balancing and generating reports for that batch number.
- Edit a Transaction - You can now edit a transaction even if it is part of a locked batch.
- Payment Entry Function -
- ***New Functionality*** - You can now 'unpend' a claim by selecting the check box in the Act column next to the charge and selecting Unpend from the Actions box.
- ***New Functionality*** - Typing the special code, '/IS' in the Deny column on the payment allocation screen was not always forcing the balance to the Ins/Bal column. This has been corrected.
- ***New Functionality*** - When selecting an Unposted Payment, the Payment Code would not always default correctly on the Payment Entry screen. This has been corrected.
- Post ERA File (Transactions, Electronic Remittance Advice (ERA)) - ***New Functionality*** - Zero payments will now post if applied to a procedure line item. This will allow the EOB image to appear for zero payments on the transaction history screen.
- Print Payment Exceptions (Transactions, Electronic Remittance Advice (ERA)) - A new 'No claim detail available on EOB' payment exception has been added to alert you when an electronic remittance advice has been received from a secondary carrier but pertinent information is missing from the remit, such as the date of service.
- Procedure Entry Function - ***New Functionality*** - To send additional information with the electronic claim, type PWK in the Proc field (after you add PWK to the Procedure Code Table). In the Description field, type the Report Type Code followed by a slash (/) and then the Report Transmission Code. If the Report Transmission Code is anything other than 'AA', you also need to add the Attachment Control Number. (For example, DG/EM/12345083120086789.)

- Procedure Entry Function - It is no longer possible to post stored procedures using an accounting date from a closed billing period.
- Reverse a Transaction - It was possible for an error to occur when reversing non-insurance payments. This has been corrected.
- Unposted Procedure Journal (Transactions, Transaction Journals) - The Print from Date and Print Through Date range now refers to the Date of Service, where formerly it referred to the date the unposted procedure was entered into NetPracticePM. The journal now reflects an Entry Date column and a Service Date column.
- Unposted Procedure Journal (Transactions, Transaction Journals) - ***New Functionality*** - A Location sort has been added. The Doctor and Code sort options have also been modified to print by range.
- Unposted Procedures - If an unposted procedure was tied to an E-Superbill and the E-Superbill had notes attached, the notes would not display in an alert message when the procedure was selected. This has been corrected.
