Aged A/R by Default Location

With the Aged Receivables by Default Location function, you can generate a report that provides a detailed aging of account balances sorted by default location. The aging is calculated based on the date the transactions were posted and the sorting is based on the default location stored for each transaction when it was originally posted.

Print through Date Type the date you want the report to end with or click the calendar icon to select a date.

If you select a date prior to the current date, you should not select to include the insurance or patient balances on the report because those figures cannot be accurately calculated for past dates.

If you select a date prior to the current date, the program automatically scans for any deleted patient accounts to ensure the totals provided for that time period are accurate.

Show A/R as If you want the A/R to print the current open item balances, select Current Balance. If you want the A/R to print the open item balances up through the Ending date, select Balance on Ending Date.
  
Note: If you select Balance on Ending Date, the balances will not include any payments or adjustments applied after the selected ending date.

Include Insurance Balance If you want the report to print the insurance balance separately, select this check box. If you selected a date prior to the current date for the 'Print through Date', you should not select to include either the insurance or patient balances on the report because those figures cannot be accurately calculated for past dates. 1
Include Patient Balance If you want the report to print the patient balance separately, select this check box. If you selected a date prior to the current date for the 'Print through Date', you should not select to include either the insurance or patient balances on the report because those figures cannot be accurately calculated for past dates. 1
Aging Increments (15/30) Select the aging increment you want to use when printing the aged balances. 2

Sample Report
This report lists all charges with a balance. If the charges fall within the parameters of the report, the balance of the charge is shown. If it does not fall within the parameters, the charge displays with a 0.00 next to it. Therefore, an account might then be listed under more than one default location. For example, if you run the report for default location 1, you can see the actual amount outstanding for that default location, and then, because of the 0.00 listings, you can also see that there are still other charges on that account under other default locations.

If you select to include guarantor detail, the information that will be on the report is: patient account number, guarantor name, date of last visit, date of last payment, the total balance due on the account and the aging of that balance (broken down by 'P'atient and 'I'nsurance if selected). If a Report comment is stored in the patient's Billing Information, it will print beneath the guarantor's name. Then the address information and transaction detail with the patient name will print if you select to include them.

The last page of the report reflects the summary information, which includes: the default location code and name, the number of accounts with balances (broken down by 'P'atient and 'I'nsurance if selected), the total balance and the aging breakdown of balances, the percentage each aging category represents of the total balance owing, and grand totals for all default locations combined.

Note: The report may print a default location labeled 'Default Location - NOT DEFINED', which will contain any unapplied transaction amounts.

If you select to include both 'P'atient and 'I'nsurance balances, the total number (No.) of accounts listed for each type of balance does not typically breakdown evenly between the patient and insurance balance categories. The reason for this is because many accounts contain both types of balances and will be counted for each category, but will only be counted one time for the total.
