RVS Schedule Setup Process

By using RVS Schedule codes, you can evaluate physician productivity based on RVS Unit Values, automatically calculate allowed amounts for various insurance plans based on a 'conversion factor', and perform yearly price comparisons based on allowed amounts.

This section includes the steps for:
Setting up New RVS Schedules
There are two options available when setting up a RVS Schedule. You can just perform setup steps one through three to use it to evaluate physician productivity or you can perform all of the setup steps and also use it to automatically calculate the allowed amounts.

The following steps should be performed to set up new RVS Schedules in CGM webPRACTICE:
  1. Create RVS Schedules - Tables, Relative Value Schedule Table, Maintain RVS Schedules. Create the RVS Schedule you want. Define a code and description to signify what RVU Schedule you are using. Medicare is the most commonly used source.

  2. Enter RVS Schedule Unit Values - The individual RVS schedule unit value amounts should be entered for each procedure code using one of the three functions listed below:
  3. Print the RVS Productivity Report - Reports, Statistical Reports, Productivity Analysis Reports, RVS Productivity Report. You can print productivity reports showing Work Units or Total Units.

  4. Update the Location Code Table - Tables, Location Code Table, Maintain Location Codes . Indicate whether the locations use facility or non-facility amounts. The standard default for each location code is set to 'non-facility', so you should only need to change those locations that use facility amounts.

  5. Link the Insurance Plan to the RVS Schedule - Tables, Insurance Carrier Table, Plan Code Table, Maintain Plan Codes. Link the Insurance Plan Code with the appropriate RVS Schedule.

  6. Add a Conversion Factor to the Plan Code - Tables, Insurance Carrier Table, Plan Code Table, Maintain Ins Plan Code Conversion Amts. You will need to add a Conversion Factor to the Plan Code to have the allowable amounts auto calculate for you at payment entry. You can add the conversion factor one code at a time or for a range of codes.

  7. Create a Generic Fee Schedule - Tables, Fee Schedule Table, Maintain Fee Schedules. If you plan on automatically calculating the allowed amounts, you need to create a generic Fee Schedule that can be linked to the Insurance Carrier. Payment Entry will not default the calculated allowed amount unless a Fee Schedule is linked to the Insurance Carrier.

  8. Link the Plan Code and Generic Fee Schedule to the Insurance Carrier - Tables, Insurance Carrier Table, Maintain Insurance Carriers. You will need to link your Insurance Plan Code and Generic Fee Schedule to the Insurance Carrier.

  9. Print the RVS Schedule Comparison - Tables, Relative Value Schedule Table, Print RVS Schedule Comparison. You can compare the Conversion Factors for different Plans by printing the RVS Schedule Comparison Report.

Updating RVS Schedules Yearly
The following steps should be performed to update your RVS Schedules on a yearly basis:

Note: If you plan on importing the current RVS unit values, skip to the second section of Step 2 below - Import the amounts from a file.

  1. Copy RVS Schedules - Tables, Relative Value Schedule Table, Copy RVS Schedules. Select the RVS Schedule you want to update, enter the old Effective Date in the Copy From Date field and then the new Effective Date in the Copy into Date field. This will also copy the unit values from the old Effective Date into the new Effective Date.

  2. Enter RVS Schedule Unit Values - The individual RVS schedule unit value amounts should be entered for each procedure code using one of the two functions listed below:
  3. Copy the Conversion Factors for the Plan Code - Tables, Insurance Carrier Table, Plan Code Table, Copy Plan Amounts. You will need to copy the Conversion Factors for the Plan Code into the new effective date. This step needs to be performed even if the amounts have not changed for the conversion factors to print RVS Schedule Comparison report.

  4. Print the RVS Schedules - Tables, Relative Value Schedule Table, Print RVS Schedules. After you have updated all of the RVS Schedule Unit Values, you can print the RVS Schedules for multiple year comparisons.

  5. Print the RVS Schedule Comparison - Tables, Relative Value Schedule Table, Print RVS Schedule Comparison. You can compare the Conversion Factors for different Plans by printing the RVS Schedule Comparison Report.
